Hoowla Case Study Hennah Haywood Law

Background

Hennah Haywood are a long established regional law firm in South Wales. Originally established as a solicitors known as Hornby Baker Jones & Wood in 1887, it was time for a rebrand and they opened under the new name in 2015.

After more than 20 years at the firm, Directors Andrew and Nathan wanted to transform the practise into a modern, dynamic legal firm that simultaneously retained the core values that have been at the heart of the firm for more than 100 years.

Challenge

Hennah Hay Law wanted to upgrade from their existing case management system to a more modern, streamlined piece of software. With limited functionality their previous system was only being used as an accounts system and was not providing the growing law firm with the efficiency and usability they needed.

As a full practice law firm Hennah Haywood needed a case management system that covered all areas of law, from conveyancing to wills and probate, personal injury to negligence.

Solution

All Hennah Haywood’s account data was migrated from their previous system, meaning any historical cases and their client ledgers can be viewed within Hoowla, posting item by item.

As well as making use of Hoowla case management system the firm also have implemented Hoowla’s conveyancing quotes system. They now can easily provide a prospect client a quote in person, over the phone or online within a few seconds.

Hoowla’s conveyancing software means Hennah Haywood now have the benefit of integrations with HMRC and Land Registry allowing them to order documents and submit registration through the case. This means the information is automatically added to submissions. The firm has also started using Hoowla’s online portal to allow clients to track the progress of their case, request updates and securely send documents and messages.

With litigation cases a strong focus for the firm it was important that the new system was able to time-record and bill efficiently. With Hoowla the litigation department can time-record and bill against each matter. The management report then picks this data up for a firm wide view.

Since going live with the case management system, Hoowla has provided an additional benefit to client on-boarding at no extra charge. Hennah Haywood wanted to automate the on-boarding of holiday refund claim clients. Using Hoowla’s API clients can complete a web form on Hennah Haywood’s website and the case is automatically created within Hoowla for the file opening team to review.

The ability to allow clients to easily obtain a quote through their website means that prospective customers can fill in Hennah Haywood’s fully branded quote calculator and receive an instant quote at anytime. If the client choses to enter contact details they receive an email with the quote details and, if they wish, can instruct the firm then and there.

With Hoowla the litigation department can time-record and bill against each matter. The management report then picks this data up for a firm wide view.

Hoowla’s client portal reduces the amount of time needed to manually update clients about their case progress and allows documents to be shared securely, reducing the risk of postal delays and losses.

The automation of case opening and client on-boarding for holiday refund claims is a big bonus for both clients and staff. The website forms allows clients to submit their claim on a weekend or evening and staff can then review and send out the care packs the next working day, saving time and money on data entry.
